Position Overview: The Brand Project Coordinator will play a vital role in managing brand update processes, supporting department objectives, and ensuring the smooth flow of product samples and assets. Reporting to the Senior Manager of Sephora Collection North America, this role requires expertise in project management, strong organizational skills, and the ability to navigate complex workflows and deadlines.
Key Responsibilities:

Project Management & Coordination:
- Oversee the brand update process by managing timelines and coordinating with cross-functional teams and stakeholders.
- Lead and maintain the seasonal assortment and planogram processes, ensuring that brand fixture updates are executed efficiently and accurately.
- Prepare creative briefs and lead graphic project kick-offs with internal business partners and graphic agencies.

Creative Review & Execution:
- Proof creative assets, artwork, and graphics for accuracy, ensuring alignment with brand standards.
- Participate in prototype reviews, providing visual insights to maintain global brand consistency.
- Manage graphic proofing for dedicated visual merchandising areas, adhering strictly to project timelines.

Project Planning & Communication:
- Establish, track, and communicate key project milestones across various workstreams.
- Ensure timely delivery of product samples and assets, proactively communicating any anticipated delays.
- Issue purchase orders (POs) as needed to support brand requirements.

Stakeholder Management:
- Engage with stakeholders at all levels, fostering effective communication channels and creating brand communications for team and store-level alignment.
- Hold teams accountable to meet deadlines and communicate risks or potential delays proactively.
- Collaborate with business partners to troubleshoot and resolve any project challenges.

Brand & Initiative Support:
- Identify and execute opportunities for departmental and cross-departmental projects.
- Assist senior leadership in developing and implementing project plans and brand initiatives.
- Support in the creation and editing of presentations.

Office Organization & Management:
- Maintained office organization, ensuring samples, assets, and workspace are tidy and efficiently managed.
- Oversee sample inventory and gratis management for team and store use.
Qualifications:
- Minimum 4+ years of experience in a corporate office, retail operations, or buying office within the beauty or retail luxe space
- Proven ability to thrive in fast-paced, dynamic environments with a strong customer focus.
- Skilled in handling multiple priorities and working with both domestic and international teams.
- Strong problem-solving, organizational, and time management skills.
- Excellent verbal, written, and presentation skills; experience in negotiation is a plus.
- Experience in the beauty industry or a passion for cosmetics is an asset.
- Technical proficiency in MS Office Suite (Excel, PowerPoint), and Smartsheet, with Photoshop and InDesign skills a plus.

The target hiring compensation range for this role is the equivalent of $ 32.00-36.00 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
