We have an immediate opening for a highly motivated Executive Business Administrator. This role is responsible for managing senior managers calendars as well as team support. Our studio is seeking a highly motivated Executive Business Administrator to provide calendar management and support for our VP, Head of Studio. We’re looking for a highly-motivated, detail-oriented admin who thrives in a fast-paced environment. In this role, you’ll be responsible for supporting our studio head. You’ll manage his calendar, assist in planning his time, and coordinate domestic and international travel itineraries as needed. You’ll also partner with the chief of staff on building and maintaining our studio’s rhythm of business, support team-building and morale activities for the studio, and coordinate operations throughout the studio. Roles at our studio are flexible, and you can work from home up to two days a week in this role (Thursdays and Fridays).
Responsibilities:
- Proactively manage studio head’s complex calendar with utmost attention to accuracy and timelines.
- Arrange domestic and international travel.
- Reconcile and process expense reports for managers, interim approve team expense reports.
- Partner closely with the studio head on activities in support of business strategy, planning, and financials.
- Coordinate and schedule internal/external meetings.
- Partner with chief of staff and admin team to manage headcount for team, submit all new hire paperwork and assist in onboarding new employees. Identify, recommend, and implement solutions to departmental operations and process issues.
- Manage team aliases ensuring all aliases for the organization are up-to date and hierarchy is aligned.
- Coordinate department facility operations, including facilities requests
- Plan and execute team morale events and all hands in partnership with admin team.
- Building relationships with gaming admin community.
- Ensure compliance with policies and procedures.
- Exercise sound judgment, tact, diplomacy, integrity and professionalism in all transactions to include communicating and working with confidential and sensitive information.
Experience:
- Minimum 3 years of experience supporting a high level manager at Microsoft within the last 24 consecutive months.
- Demonstrated proficiency in Outlook, Word, Excel, Visio and PowerPoint. Balanced skill profile including attention to detail, problem solving, organization and time management.
- Excellent written and verbal communications skills. Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.
- Ability to accommodate varying work styles and perspectives of diverse individuals and groups. Ability to work effectively under pressure, calmly and confidently with a “can-do” attitude.
- Must have a high level of integrity and ability to manage sensitive and confidential information with discretion and professionalism.
- Strong working knowledge of MSFT internal tools such as Employee Central, iCIMS, MS Expense 2, My Order and SharePoint.
Ideal Candidate:
- Experience serving as a mentor and/or leader of others in the business support community
- Experience working in a game studio or other creative organization
The target hiring compensation range for this role is $29.24 to $32.49 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
