Our client is a multi-licensed import/export business that manages animal transportation in a bonded warehouse facility near LAX. They are seeking a part-time Administrative Assistant to support their day-to-day operations. You will work closely with their operations team to ensure smooth processes for the import/export of animals. The role involves inputting data into proprietary government databases, providing excellent customer service, and supporting light administrative tasks.

Key Responsibilities:

  • Data Entry: Input travel and reservation details into proprietary government databases. This includes verifying names, flight information, passport numbers, and vaccination statuses.
  • Customer Service: Answer incoming phone calls using a provided script. You will often interact with anxious customers concerned about the status of their pets during customs processing or the reservation process.
  • Administrative Support: Assist with note-taking, letter writing, and simple desktop publishing tasks using Excel and Word (Mac-based system).
  • Data Verification: Cross-check records for accuracy by comparing source documents (hard copies or emails) with entered data.
  • Support Operations Team: Work directly managers at the LAX office to support general office duties, including managing schedules and ensuring all required documents are in order.

Requirements:

  • Proficient with Mac computers and comfortable working with Microsoft Excel and Word.
  • Strong attention to detail and organizational skills to ensure accuracy when handling sensitive information.
  • Light background check clearance is required for accessing government databases.
  • Ability to follow scripts and provide excellent customer service in stressful situations.
  • Basic desktop publishing skills are a plus (rarely needed but helpful).
  • No advanced training required; you will be trained on all necessary databases and procedures.

Preferred Skills:

  • Experience in administrative or customer service roles.
  • Familiarity with handling proprietary or government databases is an advantage.
  • Strong communication skills and ability to work independently.

The target hiring compensation range for this role is $30 to $33 hourly. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
