Location: Pflugerville ( 100% on-site)

Position Overview

As a Senior Proposal Specialist, you will play a key role in the preparation, coordination, and submission of qualification and bid proposals. You’ll collaborate closely with internal stakeholders to develop compelling, compliant, and high-quality responses to Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and other business development materials. This role requires strong writing, editing, project management, and organizational skills, with a focus on meeting tight deadlines and maintaining high standards of accuracy and presentation.

Key Responsibilities

• Lead the end-to-end development of RFQ and bid proposal submissions, ensuring alignment with client requirements and company standards.
• Establish, manage, and maintain a structured filing system for all project-related qualification and proposal documentation.
• Coordinate proposal components including scopes of work, resumes, project experience, organizational charts, and supporting collateral.
• Develop and manage timelines, deliverables, and responsibilities for each proposal to ensure timely and complete submissions.
• Collaborate with internal teams to create and enhance presentation materials, including PowerPoint content and visual design.
• Work alongside the marketing department to maintain standardized proposal templates, processes, and document libraries.
• Collect and update project data for use in case studies, press releases, project profiles, and website content.
• Assist with planning and coordination of media opportunities, trade shows, and marketing events in collaboration with the marketing team.

Qualifications & Skills

Required:

• Bachelor’s degree in English, Marketing, Communications, or a related field – or equivalent relevant experience.
• Minimum of 2 years of professional experience in proposal development, technical writing, or content creation.
• Strong project management skills with the ability to manage multiple proposals and meet deadlines.
• Excellent writing, editing, and proofreading abilities with keen attention to detail.
• Strong research and analytical skills; ability to synthesize complex technical information.
• Proficient in InDesign ( Must Have)
• Experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop).
• Self-starter who exercises discretion and independent judgment under general supervision.
• Strong interpersonal and communication skills with a customer service mindset.

Preferred:

• Experience in the Engineering or Construction industry.
• Familiarity with CRM systems and proposal automation tools.
• Background in managing cross-functional collaboration for complex proposal submissions.
• Experience coordinating or contributing to trade shows and industry events.

The target hiring compensation range for this role is $65k to $100k. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
