Step into a pivotal role supporting a VP of Design and a GM within a thriving global design organization. Your expertise in administration and budget management will be essential to ensuring seamless operations for a team of approximately 300 individuals. As an Administrative Assistant, you will be the backbone of executive support, expertly managing complex calendars, tracking budgets, and providing project-based assistance. This dynamic role offers a unique blend of routine tasks and exciting new challenges, providing a platform for professional growth and development.

Responsibilities:

  • Manage high-volume, complex calendars for two executives, ensuring efficient scheduling and coordination of meetings.
  • Track and manage discretionary budgets, including morale, training, travel, and hardware expenses, maintaining accurate records and reports.
  • Provide project-based administrative support, contributing to various organizational initiatives as needed.

Must-Have Qualifications:

  • 5-7 years of experience in a similar administrative or executive assistant role, preferably within a fast-paced, large corporate or tech environment.
  • Proven ability to manage complex calendars for multiple executives, demonstrating proficiency in scheduling, prioritization, and conflict resolution.
  • Strong budget management skills, with experience tracking expenses, generating reports, and ensuring adherence to budgetary guidelines.
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously and meet deadlines effectively.

Best Candidate Qualifications:

  • Prior experience supporting executives in large, fast-paced organizations, ideally within the tech or corporate sector.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Proactive and solution-oriented approach, demonstrating initiative and the ability to anticipate and address potential challenges.

The target hiring compensation range for this role is $30.69 to $34.10 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
