** Must be able to work a hybrid schedule onsite Tuesday, Wednesday and Thursday in Culver City. Monday and Friday remote ** 

Become an integral part of a leading creative organization, supporting senior managers and their teams. As an Administrative Assistant, you’ll be the central hub ensuring seamless operations, coordinating schedules, and facilitating communication across multiple teams. This is a dynamic role where your organizational skills and proactive approach will directly impact the efficiency and success of the creative projects.

As an Administrative Assistant, you will:

  • Provide comprehensive administrative support to senior managers within the Creative Operations organization.
  • Manage complex calendars, prioritizing and scheduling meetings between multiple senior leads, their teams, and cross-functional partners, adapting to last-minute changes.
  • Collaborate with executive assistants to coordinate key leadership meetings.
  • Arrange domestic and international travel and process expense reports.
  • Take notes during select meetings and drive follow-up on action items.
  • Coordinate and manage on-site team meetings and events, including logistics such as room reservations, catering, and team-building activities.
  • Partner with local site teams and corporate meetings and events teams.
  • Respond to correspondence and direct inquiries to the appropriate team members.
  • Facilitate communication of team updates.

Must-Have Qualifications:

  • 4+ years of experience supporting Senior Manager-level or higher leads and/or cross-functional teams in an administrative/coordination capacity.
  • Experience working with and understanding the needs of creative organizations.
  • Experience collaborating with distributed teams across different time zones.
  • Experience planning, coordinating, and communicating team meetings and events, both in-person and virtually.
  • Strong attention to detail and accuracy.
  • Superior organizational and time management skills with the ability to adapt to changes.
  • Ability to work effectively independently and problem-solve.
  • Professional communication skills with cross-functional stakeholders and senior management.
  • Proven ability to adapt and improve processes for increased efficiency.
  • Discretion in handling confidential information.

Nice-to-Have Qualifications:

  • Experience with virtual collaboration tools.
  • Willingness to be available after business hours occasionally.
  • Bachelor’s degree or equivalent experience.

The target hiring compensation range for this role is $52.48 to $58.32 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
