We are seeking a highly organized and experienced Events Project Coordinator to manage and execute key donor engagement projects, events, and related initiatives. This position is vital to the success of our fundraising operations, ensuring that projects such as donor relations, event planning, signage, and gift agreement adherence are completed with excellence. The Project Coordinator will work closely with stakeholders across the organization, including volunteers, leadership teams, and major donors, to ensure that all projects align with strategic goals and are executed on time and within scope.

Key Responsibilities:

  • Project Coordination & Implementation: Manage and coordinate complex projects across various fundraising and donor engagement activities, including events, signage, and gift agreement adherence.

  • Stakeholder Collaboration: Work closely with internal stakeholders (fundraising teams, leadership, volunteer teams) to ensure the effective and efficient planning and execution of projects. Ensure alignment with the organization’s overall strategic goals.

  • Risk Assessment & Problem Solving: Assess potential risks and roadblocks for projects, including a wide range of visible issues. Proactively recommend and implement solutions to keep projects on track.

  • Fundraising & Donor Engagement: Support fundraising initiatives through effective project management. Contribute to the development and execution of donor engagement strategies. Cultivate relationships with major donors and volunteer leadership.

  • Communication & Reporting: Communicate regularly with stakeholders at all levels of the organization to ensure that project goals, timelines, and expectations are met. Provide status updates, reports, and key insights into project progress.

  • Strategic Planning & Improvements: Recommend and contribute to the continuous improvement of development activities and strategies. Actively support organizational changes and innovations in donor relations and event planning.

  • Multi-tasking & Time Management: Manage multiple projects simultaneously, balancing deadlines and priorities. Demonstrate flexibility and adaptability in responding to changing demands and unexpected challenges.

  • Event Support & Execution: Coordinate logistics for fundraising events, including but not limited to venue arrangements, guest lists, program flow, and post-event follow-up.

  • External Audience Engagement: Use knowledge of the nonprofit, healthcare, and fundraising landscapes to work with external audiences such as major donors, volunteers, and other key stakeholders.

Qualifications:

  • Experience: At least 3-5 years of experience in project coordination, event management, or a similar role within a nonprofit or fundraising environment. Experience in healthcare or similar sectors is highly preferred.

  • Education: Bachelor’s degree in Business, Nonprofit Management, Communications, or a related field (or equivalent experience).

  • Skills & Abilities:

    • Strong project management skills, with the ability to oversee multiple initiatives simultaneously.
    • Familiarity with donor engagement strategies and fundraising processes.
    • Ability to adapt and stay calm under pressure, dealing with interruptions and changing priorities.
    • Exceptional organizational skills with a keen eye for detail.
    • Excellent communication skills, both written and verbal.
    • Strong interpersonal skills and the ability to navigate sensitive or politically charged situations with tact and diplomacy.
    • Flexibility in dealing with diverse teams and external audiences from varied backgrounds.
  • Technical Proficiency: Knowledge of project management tools and software; proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and event-related software or databases.

Working Environment:
This position is part of a collaborative, high-energy team in a sophisticated fundraising office. It requires a high level of flexibility and a proactive approach to managing projects in a fast-paced environment with multiple competing priorities.

Physical Demands:
The role may require occasional travel and attendance at evening or weekend events. The Project Coordinator should be able to sit, stand, and move around for extended periods during event setups and activities.

The target hiring compensation range for this role is $25.00 – $30.00 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
