**This is a HYBRID role located in Toronto, ON.  We are seeking candidates who are authorized to work in Canada and located within commuting distance of Toronto. Remote candidates will not meet role requirements**

Our large client seeks a UX Design Operations Specialist to join their Design Experience team. In this Consultant role, you will advocate for Design Experience and serve as the team’s Design Operations specialist.

While creating a supportive and efficient work environment, you will ensure high-quality work is delivered on time and within budget. As an ambassador for the Design Experience team, you will maintain and build relationships before, during, and after projects.

You will be responsible for understanding and communicating how UX Strategy, UX Research, UX Design, and UI influence project/business decisions and improve user experience. You will be a broad-experienced, business-savvy individual who can provide excellent project support relative to the Projects/Platforms/Journeys in progress while building relationships across the organization. By implementing strategic, operational workflows, resource management, and cross-functional collaboration, you will improve/streamline the design team’s efficiency and effectiveness.

What you will do:

  • Ambassador for the UX Team across the organization – including maintenance, communication, advocacy, and education regarding UX Team processes
  • Invoice/Contract Management – Communication with vendors and ensure sure all invoices/contracts are submitted in a timely manner
  • Roadmaps – track and maintain major team initiatives
  • Project Delivery – monitor and report via check-ins with manager(s) on project status per project phase to ensure projects are delivered and executed on time
  • Collaborate with design leadership in key project decision-making – including requirements gathering (UX/content exploration and feature prioritization), scheduling, resource allocation (appropriate skillset level), and coordination of teams and approval processes
  • Project management – production roadmaps for Continuous Exploration, Continuous Delivery, monthly presentation decks for updates
  • Team Contact – Act as the team’s first internal liaison for process, tools, documentation (i.e., Lucidspark), asset management, etc. Manage distribution lists. Actively identify any additional needs for the team.
  • Onboarding – Ensure the set-up of new team members/resources is in the system (including hardware, software, checklist of processes, as well as team organization). Use a buddy system for transition onto the team. Facilitate campus access for team members.
  • Design Team’s Event Culture – Through planning and scheduling monthly and weekly meetings (and even socials!)

Will be supporting these areas as well:

  • Administrative & Financial Support – assist in budget planning and management related to design operations, ensuring cost-effective utilization of resources.
  • Report to UX Management – on financial plan/budget status, experience risks, issues, and escalations
  • Support in monthly reporting – (share out to UX Management & Digital Executives) on visibility of portfolio status with presentation summaries from teams per sprint cadence. Reporting on outcomes per program-related OKRs.
  • Other project definition and delivery processes, establishing project timelines and tasks.

What you will bring

  • 5+ years experience in Agile / Product Design corporate environments
  • Excellent understanding of product design and digital development (UXR, UXD, UI) including design processes, methodologies, and best practices
  • Proficiency in project management tools (e.g. Jira, Confluence, Wrike), design collaboration tools (e.g. Lucidspark), and workflow optimization with spreadsheets
  • Experience managing freelance budgets and contracts. Expert Excel spreadsheet user.
  • Strong relationship-building skills with the ability to collaborate effectively with cross-functional teams
  • Excellent organizational, written, and communication skills with impeccable responsiveness and follow-through on details
