Aquent has an exciting opportunity for an Executive Assistant in Woonsocket, RI!

This is a hybrid position.  For this reason, we will only consider candidates who have no more than a 50-minute commute to our client’s office.

In addition, to be considered for this role, you must:

  • Be authorized to work in the United States
  • Not require sponsorship of any kind for the duration of the assignment
  • Be able to work on a W-2 basis.  C2C or 1099 is not permitted for this role

**About the Role**

As a vital member of the team, you will be the backbone of administrative support for senior leadership, ensuring smooth, timely, and efficient operations. This role demands a proactive, organized, and detail-oriented professional capable of managing complex schedules, coordinating critical communications, and handling sensitive information with the utmost discretion. You will play a pivotal role in maintaining operational excellence, allowing executives to focus on strategic priorities that drive the company forward.

**Key Responsibilities**

* Execute complex administrative office coordination to ensure seamless departmental operations.
* Conduct thorough research, data collection, analysis, and compilation for essential departmental reports.
* Manage and maintain critical files, reports, financial records, and confidential documents, ensuring strict regulatory compliance.
* Provide exceptional customer service by addressing internal and external inquiries, resolving issues, or directing them appropriately.
* Optimize departmental workflow and operations by effectively communicating established policies and procedures.
* Serve as the primary point of contact for internal and external stakeholders, facilitating concise and effective communication with employees, partners, and senior management.
* Prepare detailed financial records related to departmental expenditures, budget balances, investments, payroll, and operations.
* Review performance evaluations within the department to ensure compliance and support continuous improvement initiatives.
* Identify and implement opportunities to provide comprehensive administrative assistance to executive-level and senior individual contributors, ensuring consistent departmental functionality.
* Coordinate the onboarding process for new hires, including equipment and software setup.

**Must-Have Qualifications**

* A verifiable High School Diploma or GED is required.
* 5+ years of dedicated Executive Assistant experience, demonstrating a proven track record of supporting high-level executives and leadership.
* Exceptional proficiency in Microsoft Office Suite, including Outlook, Outlook Calendar, Word, and Excel.
* Extensive experience with making complex travel arrangements and meticulously submitting expenses post-travel.
* Demonstrated experience in ordering and managing office supplies, including stocking and inventory.
* Proven ability to plan and execute large meetings, including reserving conference rooms and managing logistics.
* Experience with organizing, ordering, and setting up catering for meetings and events.
* A collaborative spirit with experience in backing up other Executive Assistants, ensuring continuous support coverage.
* Working knowledge of problem-solving and decision-making skills.
* Flexibility with working hours, typically within an 8:30 AM – 5:00 PM schedule.

**Nice-to-Have Qualifications**

* Familiarity with the Concur system is a plus.
* A Bachelor’s degree, specialized training, or relevant professional qualification is preferred.

The target hiring compensation range for this role is $27.00 to $30.00 an hour. Compensation is based on several factors, including but not limited to education, relevant work experience, relevant certifications, and location.
