Project/Operations Management Support- Industrial Design/Display
- Work Location: Hybrid Schedule- Work on-site in Santa Clara County, CA – Tuesday, Wednesday, Thursday. 2 days remote.
Project Deliverables:
- This project provides comprehensive support to a retail prototyping team focused on creating store prototypes. The support encompasses a range of activities including design problem-solving, project management, resource allocation, prototyping skills, and daily operational oversight.
- Project and Resource Management:
- Identify opportunities to staff prototyping, design, and execution jobs appropriately.
- Manage project schedules, intake, prototyping timelines and track progress for both creative execution and prototyping design, including for Creative Core and Executive Walkthroughs.
- Set expectations for staffing bandwidth per project.
- During Creative Core, manage the Print Team’s execution matrix, documenting inputs to facilitate a steady workflow.
- Run weekly all-team stand-ups to review project status.
- Meet 1:1 with the Proto Lab Design Manager to keep him informed of all project statuses.
- Outsource jobs to other shops when capabilities or project volume are exceeded.
- Operational Oversight:
- Ensure the labs remain operational and safe.
- Develop and implement business continuity plans for each lab function (addressing downtime or high volume).
- Conduct stand-ups (daily, bi-weekly, as needed) to onboard new jobs and assist the team with prioritization.
- Manage inventory and supplies and coordinate deliveries.
- Handle access requests to workshops, reviewing with the Design Manager.
- Stay on top of budget and consumables.
- Maintain documentation for Design Manager visibility at all times.
- Manage and maintain the latest creative in the mock store for all store fixtures.
- Capture notes during prototype reviews and regroup with the prototyping POC to determine next steps and actions.
- Negotiate contracts with vendors and REWs for lab space expansion projects.
- Manage Statements of Work (SOWs), Purchase Orders (POs), Non-Disclosure Agreements (NDAs), etc.
- Manage and archive project assets for future use.
- Cross-functional Collaboration & Communication:
- Liaise with producers and Xfunctional business partners as necessary to ensure asset delivery and timings are understood, and solution with them if adjustments are needed.
- Serve as the primary point of contact for executive reviews, including organizing assets for incoming mock up requests.
- Raise requests to REWs (Real Estate & Workplace Services) and set up project plans, triaging any changes or issues.
- Liaise with EHS (Environmental, Health & Safety) to ensure safety protocols.
- Maintain clear and consistent communication with key partners and stakeholders.
- Attend reviews to understand feedback and next steps for the prototyping team.
- Coordinate workflows and reviews with cross-functional teams as needed.
- Identify prototyping gaps in the Creative Core workflow

- 3D Printing: 3D printer
- 2D Printing & Cutting: 60” inkjet printer, 44” inkjet printers, 54” vinyl cutter plotter, 13” cutter plotter, 60” edge cutter
