Aquent Studios is seeking an Event Coordinator. In this role you will be in charge of 5 key areas.
1. Room Setup and Prioritization
-
Oversee room setups and allocate gifts appropriately based on client tiers.

Coordinate with the facilities team to arrange furniture room setup and clean up.

Conduct final checks to ensure rooms meet our high standards before clients arrive.
2. Catering Coordination
-
Accurately enter catering orders to account team requests. Sending invoices and receipts to account team requests.

Ensure timely delivery and setup of catering services for meetings and events.

Handle special dietary requirements and manage last-minute changes efficiently.

Communicate with CEA’s when meals are ready and coordinate the removal of breakfast and lunch items.
3. Customer Reception
-
Greet customers warmly upon arrival and provide a professional welcome.

Assist visitors with check-in bags and guide them to their meeting areas.
4. Customer Gifting

Order gifts like cake pops and vinyl’s, using good judgment to determine when enhancements are appropriate.
5. Supply Room Management
-
Keep the supply room organized and ensure all necessary materials and gifts are available.

Monitor inventory levels and let the client POC know when to reorder supplies proactively.
6. Logistics Support for Room-Only Bookings

Assist in planning and managing room-only bookings in the center.

Provide on-site support during engagements to handle any logistical issues that arise.
Requirements:

Minimum a Bachelor’s degree
-
Have worked in a similar customer-facing role, coordinating/managing events for at least 3 years recently

A positive can-do attitude

Excellent organization and time management skills are non-negotiable

Excellent communicator and works well in a collaborative environment

Follows event logistics instructions

Comfortable with technology and learning new systems

Professionalism and dependability are non-negotiable

Ensures all requests are submitted early or on-time to avoid delays

Other Requirements
Compensation Range: $30 – $35 hrly (DOE)
The range provided is our reasonable estimate of the compensation for this role. The actual amount may be higher or lower, based on factors such as experience, knowledge, skills, abilities and location.
