As an Administrative Assistant embedded within a dynamic Product Creation & Merchandising team, you’ll play a pivotal role in orchestrating the smooth flow of operations, ensuring that creative energy is channeled effectively. Your organizational prowess and proactive approach will directly impact the development of cutting-edge products, from concept to consumer.
This role calls for a highly organized and adaptable individual with a passion for efficiency. You will be the central hub of administrative support, anticipating needs, streamlining processes, and empowering the team to focus on what they do best: bringing innovative products to life.
Your Impact:
- Drive efficiency and clarity within the Product Creation function, acting as a key administrative partner to leaders and teams.
- Masterfully manage complex scheduling needs across multiple time zones, ensuring seamless alignment for critical product creation meetings and milestone reviews.
- Orchestrate domestic and international travel arrangements, meticulously managing itineraries and aligning them with seasonal timelines.
- Plan and execute impactful team meetings, offsites, and product milestone events, overseeing budgeting, agendas, catering, and venue logistics.
- Support the creation of polished presentations, reports, and essential documents, ensuring clear communication and impactful delivery.
- Cultivate a positive team environment, partnering with leaders to foster connection and support initiatives related to team building and employee engagement.
Must-Have Qualifications:
- 5+ years of administrative experience, ideally within a matrixed or global team setting.
- Exceptional organizational and communication skills, with the ability to prioritize across multiple tasks and stakeholders.
- Proven ability to work independently and as part of a cross-functional team, demonstrating initiative and collaboration.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and virtual meeting tools (Zoom, MS Teams).
- Ability to handle sensitive and confidential information with discretion.
- Flexibility to occasionally work outside core business hours to support global initiatives.
Nice-to-Have Qualifications:
- Experience supporting product creation or merchandising teams.
- Familiarity with product development lifecycle and milestones.
The target hiring compensation range for this role is $27 to $30 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
