Job Title: Creative Operations Producer 

Overview: The Creative Operations Producer will be responsible for adhering to & evangelizing project workflows, overseeing digital asset management, and ensuring the smooth operation of creative production processes. The ideal candidate will be highly organized, tech-savvy, and adept at coordinating with multiple stakeholders to keep projects moving efficiently. 

Qualifications: 

  • 3-5yrs of proven experience in creative lab/studio management, creative operations management, or similar role within a creative environment. 

  • Proven experience in creative operations or project management. 

  • Familiarity with ClickUp, SharePoint, and digital asset management systems preferred. 

  • Willingness to learn new processes & efficiency tools and educate others. 

  • Strong organizational & communication skills. 

  • Ability to work collaboratively in a fast-paced environment. 

  • Detail-oriented with a knack for problem-solving & the ability to share what worked. 

 
Key Responsibilities: 

Projects: 

  • Oversee the receipt of incoming briefs, ensuring a streamlined process for confirmation, sharing, and assignments. 

  • Collaborating with team director & Lab manager to assure new briefs are assigned and identify creative requirements, due date & budget for each. 

  • Maintain daily oversight of project data, ensuring all project information is accurately collected & stored. 

  • Explore innovative ways to enhance team utilization of ClickUp & help prepare the team for the integration of Frontify DAM rollout. 

  • Conduct the Production Status section in weekly meetings, coordinating with the team on agenda setting and top communication. 

Purchase Orders (POs & SOWs): 

  • Gather project details & assist in drafting Statements of Work (SOWs), aligning with producers on service descriptions, milestones, costs and potential licensing terms. 

  • Monitor the progress of SOWs & POs, providing updates to producers, Lab manager & directors facilitating the start of work upon PO approval. 

  • Maintain communication with producers & agencies regarding key dates for SOW approvals, invoice submissions, & proof of execution. 

SharePoint: 

  • Coordinate and assist in the setup & maintenance of Agency & Internal Lab SharePoint sites, ensuring proper access & server compliance. 

  • Act as the first point of contact for setup, permissions, & network/tools access inquiries. 

  • Conduct monthly audits of access & permissions and troubleshoot issues in collaboration with the CIM SharePoint Team. 

HC Project Tenting: 

  • Assist in managing “tenting” for future HC projects, coordinating submissions & member assignments. 

  • Facilitate the submission process for new agency & partner projects, working closely with Procurement. 

Lab Assets & Access: 

  • Oversee archival of Lab assets, utilizing SharePoint and Frontify DAM for digital & printed assets delivered. 

  • Provide technical support for team issues related to licenses, hardware updates, & VPN access. 

  • Aid producers with file transfer tasks to improve efficiency in sharing & uploading large files.
