Aquent Studios at Novartis is a custom-built agency partnership that provides scalability with world class talent to Novartis’ in-house Materials Approval Process team. This collaboration creates exciting opportunities to work with Aquent Studios at one of the most admired pharmaceutical companies in the world.

Junior: performs more administrative duties associated with the MAP Coordinator, Art Solutions and Editorial roles.  They can include:

  • Administrative tasks for in-house agency 

    • setting up meetings

    • running reports

    • opening jobs and imputing metadata in promotional review system 

  • Responsible for Editorial Late-Night Coverage 

  • Central point of contact for the Master Teams List Updates



Mid-Senior Capabilities:

  • Master various reports in FUSE; daily reports can include Editorial Hot Sheets; Master Label Update Grids; monthly reports include re-approval reports, non-activity reports etc. 

  • Monitor Advancement of Assets through Process: provide routine follow-up to keep projects on time, asset timeline updates; asset closures

  • Responsible for FUSE Process Lead role on identified asset types

  • Ability to problem solve, seek out best practices and offer streamlining opportunities in accordance with all SOPs and compliance requirements

  • Assist team members during peak volume periods and provide back-up coverage as needed

  • Attends team meetings, as required (internal and agency status)

    • Ability to work autonomously, in a fast-paced environment with limited oversight

    • Ability to juggle multiple priorities, and re-prioritize throughout the day to meet evolving business needs

    • Compliance with all Working Practice Documents, Guidance Documents and Novartis policies

    • Effective operational management aligned with business demands 

    • Effective and timely communication, follow-up and execution of requests and assignments

    • Responsibilities to include pre-clearance support as needed

Education (minimum/desirable):

BA/BS degree in Business Marketing or Communications, preferred. 


Experience/Professional requirement:

  • Minimum of 2- 5 years’ experience in pharmaceutical industry or Pharmaceutical Advertising Agency (Account Services or Project management)

  • Proven strong verbal and written communication skills

  • Basic knowledge of FDA and Pharmaceutical regulatory and compliance guidelines on advertising and promotion

  • Solid understanding of pharmaceutical material review and approval process required

  • Demonstrate persistent follow through and ability to juggle shifting priorities with ease

  • Strong collaboration, communication, and problem-solving skills

  • Results-oriented with the ability to deliver under tight deadlines 

  • Proficiency in computer applications, including Microsoft Office, Adobe Acrobat, PowerPoint, and Aprimo Marketing Studio, Veeva Vault or WorkFront

Compensation Range: $60-65K

The range provided is our reasonable estimate of the compensation for this role. The actual amount may be higher or lower, based on factors such as experience, knowledge, skills, abilities and location.
